RULES AND REGULATIONS FOR EXHIBITORS

  1. Show hours will be as follows:3rd, 4th, 5th, 6th March 2010- 10:00 to 22:00.
  2. ALL EXHIBITS MUST BE OPEN TO THE PUBLIC DURING THESE HOURS.
  3. Should any exhibitor withdraw from the show,  or fail to exhibit, the rental plus all outstanding monies will still be payable and monies already paid be forfeited.
  4. RENTAL MUST BE PAID IN FULL BEFORE 15TH JANUARY 2009 AND NO STALLS WILL BE HELD WITHOUT FULL PAYMENT.  NO LATE BOOKINGS CAN BE ACCEPTED AS SPACE IS LIMITED.
  5. Should any exhibitor not have erected their stand in the place allocated to them by 20:00 Tuesday 3th March 2009, the Show Committee reserves the right to hire the said space to another exhibitor without any obligation to the exhibitor.  NO REFUNDS WILL BE MADE.  The Show Committee also reserves the right to re-allocate any stand for whatever reason it may seems necessary, and without any obligation to the exhibitor.
  6. Each exhibitor must provide us with an ID Photo for each person that will be working at his/her stand.  Exhibitors tickets will be provided free of charge with a maximum of 5 per exhibit.  Additional  tickets can be bought at R80.00 per ticket.  NO EXCEPTIONS WILL BE MADE.
  7. Exhibitors must provide their own partitioning & Lighting. A 15 AMP power point will be provided for indoor exhibitors.  EXHIBITORS WILL NOT BE ALLOWED TO PAINT THE WALLS OR FLOORS.  The use of nails in walls & floors are prohibited.  Should any damage be caused the exhibitor will be liable for the cost of repairs and hereby authorises the Show Committee to carry out such repairs for the exhibitor's account.  POWER POINTS MAY NOT BE OVERLOADED.  NB:  ONLY SINGLE PHASE POWER WILL BE  PROVIDED.
  8. No stand or portion may be sublet without the written consent of the Show Committee.
  9. The show grounds will be available to exhibitors for the erection of their stands 2 weeks prior to the show dates between 10:00 and 17:00 daily. Exceptions to this rule shall only apply in extreme cases.  Dismantling from exhibits will take place from Sunday 7th March 2010 from 08:00.  NO EXCEPTIONS WILL BE MADE.  NOBODY WILL BE ALLOWED TO OVERNIGHT IN THE HALLS.
  10. No exhibitor will be allowed to drive on scooters and motorbikes on the show grounds during show time.
  11. All exhibitions must be dismantled  by Saturday 13th March 2010 and all materials removed.  Should any exhibitor fail to abide by this clause, the Show Committee has the right to authorise  the rectification to the said space and any charges therefore will be payable by the exhibitor.  Any alterations/buildings on show property become property of the Show Committee if it is not removed by 13th March 2010
  12. The Show Committee shall not be responsible for any damage or loss caused by fire, theft or any other cause.  Exhibitors must arrange  for their own insurance cover, security guards, etc., and must ensure  that they have the necessary fire extinguishers in their stands as required by the Fire Department of  Polokwane. The exhibitor exhibits at his/her own risk in every respect and it is a condition that he holds the Show Committee and the organisers harmless and indemnifies them against any legal proceedings arising from any injury or accident caused or occasioned by any machinery or other articles  exhibited, and from any responsibility arising  from the exhibitors  and his personnels' actions or negligence.
  13. Fulminates, explosives and all articles and material of a dangerous, inflammable or objectionable sort are unsuitable.
  14. The use of sound-producing equipment as well as audio visual demonstration of any kind requires the permission of the Show Committee, and should  be used in such a way as not to interfere with the right of other exhibitors.  Should, however,  permission be granted for the use of said equipment, the Show Committee has the right to withdraw such permission should they deem  it necessary.
  15. One Single phase 15 AMP power point is supplied nearby each outdoor stand.  Exhibitors must supply their own extension cords.
  16. Exhibitors must ensure they comply with all the rules and regulations in respect of trading.
  17. Any dispute between exhibitors must be referred to the Show Committee, whose decision shall be final and binding on all concerned.
  18. The parties agree to the jurisdiction of the Magistrates Court in respect of any action which may arise our of this contract.
  19. Any concession or postponement made or granted by the Show Committee to any exhibitor in respect of any condition or commitment that the exhibitor may have in regard of this agreement will not be deemed to be a waiving of any of the Show committee's right to, at any time and without notice, claim that each and every condition of this agreement is strictly adhered by the exhibitor.
  20. ANY AMENDMENT OF THIS CONTRACT WILL NOT BE VALID UNLESS IT IS MADE IN WRITING AND SIGNED BY ALL PARTIES CONCERNED.
  21. NO BB GUNS ARE TO BE SOLD ON THE PREMISSES.
  22. FREE PARKING TICKETS: only 2 (Two) free parking tickets are supplied per stand. If more are required a charge of R60,00 per ticket will be charged. NO EXCEPTIONS !
  23. FOODSTUFFS:  Exhibitors are not to bring their own food and beverages into the Showgrounds. It would be unfair towards the Food & Beverage Vendors.
  24. Outdoor Exhibitors may have Barbeques to entertain their GUESTS!
VERY IMPORTANT !!!            PLEASE READ !!

ADDITIONAL RULES & REGULATIONS

  • Exhibitors MUST have their exhibits erected before 24:00 (Midnight) on Tuesday 2nd March 2010

  • Under NO CIRCUMSTANCES and for NO REASONS whatsoever, will exceptions be made. You will not be allowed entry!!

  • Late comers will forfeit any payments made.

  • Please ensure that you have ALL your documentation on hand as our Security have STRICT instructions not to allow ANYONE entry who fails to produce the required documentation.

  • Parking stickers MUST be stuck on the windscreen of your vehicle, else you will also not be allowed entry. AGAIN it must be stuck onto your windscreen AND please park in the designated area and NOT just where you wish to!!
